Our client is one of the world’s largest and most prestigious law firms with a strong and established presence in Asia Pacific. They are now seeking a top calibre and highly efficient Facilities Manager to oversee a broad scope of office administration related duties as outlined below. Reporting into the Facilities Management Director, the ideal candidate will have excellent organizational and time management skills, whilst being proactive and solution-oriented.
Responsibilities:
- Responsible for all general office management and processes by ensuring day-to-day operations and procedures are running smoothly and appropriately
- Maintain good relationships with external suppliers / vendors
- Manage petty cash payment and handle any office expenses related payments
- Responsible for office procurement and ensuring any purchases are in accordance with company policy
- Oversee any office cleaning and pest control arrangements
- Reinforce and ensure compliance of Environmental, Health & Safety regulations
- Assist with any office renovations and relocations as required and coordinate any internal office moves and maintain floor maps accordingly
- Supervise the Catering assistants and Cleaners, and provide any necessary training
- Handle logistics arrangements such as travel bookings for any retreats and coordinate setup and catering for any in-house events
- Organize office events and manage any related arrangements
- Handle ad hoc projects as assigned by management
Requirements:
- Degree holder in Business Administration or related disciplines
- Minimum of 10 years’ solid office administration and management experience in sizable companies in a similar capacity
- Candidates with less experience may be considered for a role in accordance with their background and experience
- Extensive working experience with senior management and managing the office services team
- Excellent communication skills in English, Cantonese, and Mandarin – verbal, written, interpersonal and presentational
- Ability to work in a fast-paced environment, multitask and prioritise workload
- Highly organized with strong attention to detail
- Independent and proactive nature with outstanding problem-solving skills
