Our client, a US based leading investment group, is seeking a top-notch Office Manager with a global mindset and a proven track record of strategic leadership. This pivotal role requires someone with the finesse to lead teams, oversee office operations, and collaborate effectively with individuals at all organizational levels. Key Responsibilities
Ensure the smooth running of all offices in Hong Kong
Team leadership of Executive Assistants
Responsible for office administrative duties; assist in formulating and implementing administration policies and procedures
Manage office related contracts expiries & renewals, manage external service vendors, replenish supplies and equipment as and when needed
Responsible for all HR matters including but not limited to recruitment, staff onboard/orientation, performance review, staff benefits, offboarding etc.
Work with Group HR to ensure in compliance with local labor ordinances and group policy.
Manage HR records and update systems in a timely manner.
Develop team building and coordinate activities between offices.
Ensure IT security policy is fully implemented per group policy and work with IT team to ensure office equipment are in order.
Assist Head of Office in managing meeting schedules, preparing letters, presentations and reports.
Co-ordination of overseas travel and local events in tandem with other offices
Lead and coach junior administration support staff
Perform any ad-hoc duties as assigned by the management
Key Requirements
Bachelor's degree in HR or Administration or Facilities Management or related qualification
With minimum 5 years office administration experience and with 2 years in managerial role
Experiences in managing China offices and knowledge of China labor ordinance a plus
Ability to manage and prioritize multiple tasks while meeting deadlines
Excellent interpersonal and communication skills and good time management
Proficiency in MS office software and Chinese typing
Ability to work in a diversified and team environment
Fluent in both written and spoken English, Cantonese & Mandarin
