We are seeking a dedicated professional to provide comprehensive secretarial and administrative support to an international law firm.
Responsibilities:
Compose high-quality correspondence and create documents following the firm's established style, with a focus on accuracy in both Chinese and English typing.
Assist with conflict checks and oversee the onboarding process for new clients and matters, ensuring adherence to compliance standards.
Timely preparation and coordination of monthly billing, including managing time entries and processing expenses and disbursements.
Collaborate with fee earners and the business development team on marketing efforts, conducting research, gathering client information, preparing pitches and presentations, and serving as an event secretary.
Manage the scheduling and organization of calendars for fee earners, coordinating appointments, meetings, and events to support client interactions.
Handle complex travel arrangements by working with travel agencies, booking flights and accommodations, and managing visa applications.
Perform any additional tasks or duties as reasonably requested.
Requirements:
Solid experience as a legal secretary, particularly in supporting senior-level fee earners, with a strong focus on client relationship management, especially with PRC clients.
Demonstrated maturity, resilience, and independence, along with exceptional organizational skills and attention to detail.
Ability to foresee challenges, think critically, and provide effective solutions to assist the team.
Strong capability to juggle multiple tasks, prioritize effectively, and meet deadlines in a dynamic environment.
A proactive team player and self-motivated individual who can adjust to shifting priorities and work well under pressure.
Proficient in Microsoft Office Suite and communication platforms like WeChat and VooV.
Outstanding written and verbal communication skills in both English and Chinese (including Mandarin), which are vital for this position.
