Our client is a boutique financial services firm looking for an enthusiastic, proactive, and team-oriented Office Assistant to join our growing Singapore office. This is a new headcount created to support the development of the local office and is an excellent opportunity for someone eager to start or grow their career in business support within the financial services industry.
The Office Assistant will play a key role in supporting the smooth day-to-day operations of the office. This individual will assist with all-around administrative tasks, coordinate closely with the admin team at the headquarters, and contribute to creating a positive and productive workplace culture.
We are seeking candidates with excellent interpersonal skills, a cheerful and can-do attitude, and the ability to work effectively in a team.
Responsibilities
Organise travel arrangements and logistics for the local team and visiting colleagues.
Manage travel-related documentation, including flight bookings, hotel accommodations, and visa applications.
Oversee general office operations, ensuring the workspace is well-organised and stocked with necessary supplies.
Liaise with vendors for office maintenance and services as needed.
Schedule and organise meetings, ensuring all technical and logistical requirements are met.
Prepare meeting rooms for in-person and virtual meetings.
Research and propose activities for staff engagement events.
Assist in planning and coordinating team activities to foster a positive workplace environment.
Work closely with the headquarter admin team to align on group-wide initiatives and provide mutual support.
Act as a key point of contact between the local and global teams for administrative matters.
Requirements:
At least 3 years of relevant experience in office administrative support
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
Fluent in English and Mandarin
Strong organizational skills with attention to detail
A cheerful, positive attitude with excellent interpersonal and communication skills
A team player who is proactive, adaptable, and eager to learn
Experience in financial services is an advantage
Singapore Citizen or PR is a must
