We are seeking a highly skilled and experienced Executive Assistant to provide exceptional support to a team in a leading global investment firm with a strong presence across key markets, dedicated to creating long-term value through a disciplined and collaborative approach. The ideal candidate will have a proven track record of handling complex administrative tasks, managing international office operations, and coordinating intricate travel arrangements. Fluency in English, Cantonese, and Mandarin, along with the ability to read Chinese, is essential.
Responsibilities
Provide comprehensive administrative support to the team, ensuring smooth daily operations.
Manage overseas office coordination and communication, acting as a key liaison with international counterparts.
Plan and execute detailed travel arrangements, including itineraries, visas, accommodations, and logistics, with a focus on travel to China.
Coordinate and schedule meetings across multiple time zones, ensuring all parties are aligned.
Prepare, edit, and proofread documents, presentations, and reports in English and Chinese.
Handle confidential and sensitive information with the utmost discretion.
Act as a point of contact for internal and external stakeholders, maintaining a professional and polished demeanour.
Manage team expenses, process reimbursements, and maintain accurate financial records.
Organize team events, offsites, and conferences as needed.
Continuously assess and improve administrative processes to enhance team efficiency.
Requirements
Minimum of 10 years of experience as an Executive Assistant, ideally supporting a team in a fast-paced environment.
Proven experience managing overseas offices and coordinating with international teams.
Expertise in planning and handling complex travel arrangements, including to China.
Excellent communication skills in English, Cantonese, and Mandarin, with the ability to read and write Chinese fluently.
Strong organizational and multitasking abilities, with exceptional attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other administrative tools.
Ability to work under pressure and meet tight deadlines with a proactive and solution-oriented mindset.
Strong interpersonal skills with the ability to build and maintain relationships across all levels.
Must be a holder of a valid HKID card.
A positive, can-do attitude and a strong sense of professionalism and confidentiality.
