A highly respected investment management firm with an impressive track record and leadership team is now looking for a highly efficient Junior Secretary to support their growing operations in Hong Kong. This is a fantastic opportunity for a proactive and highly adaptable secretary to join, grow and develop in a fast-paced environment. You will have a mentor to train and support you in early stages of the role. The ideal candidate is energetic, has a great attitude and willing to learn!
Responsibilities:
Provide full spectrum of secretarial & administrative support for the team
Handle travel arrangements, calendar management, and expense claims for the executives
Book restaurants, car service for traveling executives
Answer phone calls and manage meeting room bookings
Maintain contacts / update business cards in the system
Handle medical and benefit expense claims
Perform other administrative duties as needed
Requirements:
Strong command of English and conversational Mandarin to be able to book with Mainland Chinese vendors
A minimum of 2-3 years’ experience providing outstanding administrative support, preferably within financial services/asset management or legal sector
Strong presentation with outstanding written and verbal communication skills in English and Mandarin
Proficiency in Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
Ability to work autonomously and collaboratively – comfortable in a fast-paced and multicultural environment
Ability to anticipate needs or problems, think "outside the box" and proactively offer solutions
Detail minded with ability to prioritize workload and meet with tight deadlines
Meticulous, detailed oriented, and highly sensitive to handling confidential information with discretion
Commitment to the highest ethical standards
