Our client is a leading investment firm in finance, and they are seeking an experienced EA to support a team of four senior executives. The successful candidate should be able to work under pressure in a fast-paced environment, be diligent, and possess strong multitasking abilities, as well as the ability to communicate effectively with internal and external stakeholders.
Responsibilities:
• Provide high-level administrative support to the senior management and the team, including managing calendars, scheduling meetings, and making frequent travel arrangements.
• Coordinate and schedule internal and external meetings, conferences, and events, while managing complex calendars and addressing urgent meeting conflicts, including all associated logistical aspects.
• Manage frequent and complex travel arrangements for the team, ensuring all logistical details are handled efficiently and in accordance with company policies
• Provide support and coordination for roadshows, including organizing logistics, scheduling, and ensuring all necessary materials are prepared and delivered on time.
• Manage and update internal systems to maintain complete records, allowing team members to easily track information and access necessary data.
• Process invoices and expense claims for team members in a timely manner, ensuring that all policies are followed, and items are processed within the provided guidelines.
• Prepare and edit correspondence, presentations, reports, and other documents.
• Conduct research and gather information to support decision-making and project execution.
• Handle incoming calls, emails, and inquiries, redirecting them as necessary.
• Assist in preparing and distributing internal communications.
• Handle confidential and sensitive information with discretion.
• Perform other administrative duties as assigned.
Requirements:
• Bachelor’s degree in business administration, Finance, or a related field.
• Minimum of 8 years of experience directly supporting senior executives and providing team support, preferably in financial services or professional services.
• Well-organized with strong attention to detail, and the ability to prioritize tasks and meet deadlines.
• A collaborative team player with strong interpersonal and communication skills.
• A strong commitment to flexibility and resilience is required.
• Energetic and proactive, with the ability to remain calm and focused in fast-paced environments.
• Exceptional written and verbal communication skills in English and Chinese.
• Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook).
• Responsive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities.
