We are partnering with a prestigious financial institution seeking an experienced Executive Assistant to support their Managing Director of Marketing. This is an exciting opportunity to join a dynamic Asia Pacific team focused on fundraising activities in the Greater China region. The successful candidate will play a crucial role in providing comprehensive administrative and sales support, ensuring the smooth execution of all marketing operations in the region.
Responsibilities
Manage internal meetings and calendar schedules, ensuring efficient time management for the Managing Director.
Handle incoming phone calls, faxes, and mail, while processing correspondence and letters promptly.
Translate documents between English and Mandarin as needed.
Oversee the management of incoming invoices and prepare detailed expense reports.
Coordinate logistics for meetings, including scheduling, travel arrangements, and visa administration.
Host roadshows and liaise with assistants from other teams to facilitate smooth operations.
Maintain and update investor filing databases and contact lists, ensuring accurate records.
Act as the Salesforce super user, managing data inputs, generating reports, and supporting the sales team.
Provide administrative support for client onboarding and manage access to the virtual data room.
Prepare meeting information, marketing collateral, and routine reports for clients as requested.
Requirements
Minimum of 8 years of relevant experience supporting executive or senior management within a financial institution.
Exceptional verbal, written and interpersonal communication skills.
Excellent spoken and written English and Chinese.
Excellent spoken Mandarin is a must.
Proficiency in VLOOKUP and PivotTable functions in Microsoft Excel.
Exceptional organizational skills with strong attention to detail.
Proven ability to manage tasks under deadlines and prioritize effectively.
Professional user of Microsoft Office applications; knowledge of Salesforce, Pardot, and Intralinks is preferred.
Ability to handle highly confidential information.
Hong Kong residency is a must.
