Our client, one of the world’s leading privately owned multi-channel retail groups is looking for an outstanding Personal Assistantsupport the Business Owner in Mumbai, India. This role will offer the most exciting of environments and cover a wide range of exposure across multiple parts of the ever-expanding business.
Responsibilities
Screening phone calls, emails and other correspondence and forwarding important messages while responding to routine inquiries.
Scheduling and managing appointments and meetings for the Senior Executive.
Making travel arrangements, including booking flights, visas, hotels, and transportation for the Senior Executive and family members
Organizing and maintaining both paper and electronic files and records
Handling expense reports and reimbursement requests
Liasing with other senior staff members, clients, vendors, and partners
Collaborating with other administrative staff members for day-to-day routine requirement
Maintaining confidentiality and handling sensitive information appropriately
Maintaining & Updating Club Membership Accounts for the Senior Executive
Updating and usage of Reward Points of all Airlines and Credit Cards for the Senior Executive and family.
Keeping a tab on all the renewals of Passports & Visas for the Senior Executive and family.
Maintaining Personal Bank Accounts (internet transactions, etc.)
Maintaining Financial Year Travel Details for the Senior Executive for his NRI Status
Coordinating with the Advocates for the ongoing cases
Arranging Visa for the Household Staff for their travel with the family to other countries
Attending to all the maintenance of the house and daily household needs in coordination with the houses hold staff.
Visit Residence to check on the smooth running of the house, i.e. working of the internet, appliances, etc.
Booking of Hotels for all the Buyers visiting the company’s offices and facilities
Requirements
Minimum of 10 years' experience directly supporting at the C-Suite level.
Possess a global mindset by having worked with expatriate bosses both directly and indirectly across multiple time zones
Exceptional written and verbal communication skills in English
Exceptional stakeholder management and be the gatekeeper for the Senior Executive
Ability to anticipate needs or problems, think "outside of the box" and proactively offer solutions.
A strong service ethic, commitment, flexibility, and resilience required.
Responsive and autonomous with the flexibility to adapt to ever-changing priorities and responsibilities.
Detail minded with ability to prioritise workload and meet with tight deadlines.
Energetic with ability to remain calm and focused in fast-paced environments.
Advanced knowledge of Microsoft Office suite (Excel, PowerPoint, Word, Outlook)
