Our client, a high-net-worth family is currently seeking a top notch, seasoned, and highly efficient Personal Assistant to support their family with personal assistant and admin needs. The ideal candidate will have excellent organizational and interpersonal skills, while remaining flexible and adapting easily to changing priorities.
Responsibilities
Heavy calendar management, accounting for day-to-day meetings and movements, purely personal.
School activities scheduling and admin tasks for school-going child
A lover of pets, as the family will have a few dogs.
Visa renewals, (helpers and drivers – payroll, rosters, work permits, etc)
Assist with planning, organizing, and coordinating events for various locations.
Attend immediately to emails forwarded from individual that require action or follow up.
Manage and maintain contact lists and databases.
Manage all travel arrangements and prepare detailed itineraries.
Manage/pay bills, insurance, credit card transactions, etc.
Organize and take care of all mail and files.
Track philanthropic donations.
Coordinating details for social events, which may entail handling invitations and RSVP’s, working with the chef, florist, party planner, etc., and help at the event, order any rentals necessary.
Prepare gift bags of products, gift-wrap gifts and deliver locally.
Correspond with others on behalf of the Family.
Work closely with Head EA on general household and needs and coordinating scheduling of services.
Assist with table decorations for events.
Order monthly prescriptions for family; keep track of prescription renewals and refills.
Assist with various projects when needed.
Run errands.
General admin support
Requirements
Bachelor’s degree required.
10+ years of Personal Assistant or Executive Assistant to C-suite Executive.
Extremely detail oriented, organized, professional and reliable.
Proactive and forward-thinking.
Maintain a positive attitude and willingness to assist all team members.
Excellent written and verbal communication skills.
Must be able to effectively communicate with all levels of personnel and external contacts.
Ability to work independently and multi-task within a fast-paced team environment, emphasizing accuracy and timeliness.
Diplomatic, tactful and discrete concerning confidential information with unquestionable integrity at all times.
Advanced knowledge of Microsoft Word, Excel and PowerPoint.
Experience with other software programs and apps: BusyCal for Mac, Google Photos, Quicken, Database Management, Whatsapp, Telegram
