Our client is a well renowned investment company with strong connections to family offices and is currently looking for an Executive Assistant to provide administrative support to the Managing Director based at their Hong Kong office.
RESPONSIBILITIES:
Manage the Managing Director's calendar by scheduling and coordinating meetings, appointments, travel arrangements and conferences
Handle all correspondence on behalf of the Managing Director, including memos, letters, proposals, reports, and emails. Prepare presentations, briefs and reports as required
Organize and maintain the Managing Director's electronic and physical filing systems. Keep records up to date and ensure confidentiality
Conduct and coordinate research as required and handle general information requests on behalf of the Managing Director
Arrange and manage all travel, hotel accommodation, transport and itineraries for the Managing Director. Accompany the Managing Director to meetings/events when needed
Liaise with clients, business partners and other stakeholders on behalf of the Managing Director. Act as a gatekeeper and manage communications flow appropriately
Screen and filter communications including email, mail, calls and meetings to determine priorities based on importance and urgency
Any other ad hoc tasks and requests from the Managing Director to provide support and assist with efficient running of the business
REQUIREMENTS:
Excellent verbal and written communication skills
Proficient in Microsoft Office applications including excel, PowerPoint, outlook, teams, etc.
Strong organizational, time management and administrative skills
High attention to detail and ability to handle confidential information with discretion
Ability to work independently and as part of a team
Resourceful, proactive and with the ability to anticipate needs and problem-solve
Professional manner and diplomacy when interacting with senior stakeholders
Flexibility and adaptability to changing priorities and busy schedules
